A training completion certificate template with merge fields for recipient name, training name, training hours and certificate ID

CPD certificates are unusually fiddly to produce by hand. The design is often fixed, because an accrediting body signed it off and the marks have to stay exactly where they were approved. The content is not fixed: every learner has their own name, their own activity title, their own CPD hours and their own certificate number. So the job becomes duplicating one approved file per learner and retyping four things into it, which is tedious after a cohort of twenty and error-prone at every size. DocuPotion keeps the design and removes the retyping: mark the variable parts as merge fields once, upload your learner list, and get a separate finished certificate for every row.

Here's how it works

From a learner list to a finished certificate for each one.

1

Build your certificate once

Describe the certificate you want and DocuPotion builds it, or upload the accredited design you already use and keep it exactly as approved. Add merge fields like {{recipient_name}}, {{training_hours}} and {{certificate_id}} wherever the details change.

2

Upload your learner list

Export a spreadsheet from your booking system, your LMS, or a sheet you keep by hand. Map your column headers to your merge fields once and the mapping is saved for next time.

3

Generate the whole cohort

DocuPotion fills the template for every row and returns a separate certificate per learner, ready to download and send. Up to 5,000 in a single run.

Frequently asked questions

How do I generate CPD certificates in bulk?

Build one reusable certificate template in DocuPotion and mark the variable parts as merge fields, then upload a spreadsheet of your learners. DocuPotion fills the template once per row and returns an individual certificate for each person, so you never duplicate an approved file and retype a name into it again.

Can I show CPD hours or points on each certificate?

Yes. CPD hours, points, the activity title, the completion date and a certificate number are all just merge fields, so each one takes its value from that learner's row. If two learners earned different hours on the same course, each certificate shows their own figure.

Can I use the accredited certificate design we already have?

Yes, and this is usually the point. Upload the PDF you already use and place merge fields on top of it. The layout, wording and any accreditation marks stay exactly where they were approved, because DocuPotion draws onto your file rather than rebuilding your design in a template builder.

Can DocuPotion email the certificates to learners?

Not from DocuPotion itself. DocuPotion generates the certificates and returns the finished PDFs for you to download or send. If you want the sending automated, pass the generated file to the email tool you already use through Zapier, Make, n8n or our REST API.

Does every certificate count towards my document allowance?

Yes. Every certificate counts as one document, whether you generate it on its own or as part of a batch, so a cohort of 200 learners uses 200 documents. The free trial includes 50 documents, Starter includes 200 a month and Core includes 1,000, so it is worth checking a typical cohort against your plan before a large run.

What can I use as the data source?

For a batch, a spreadsheet: CSV, Excel or Google Sheets, where each row becomes one certificate. If you'd rather issue a certificate the moment a learner completes a course, that's available through Airtable, Zapier, Make, n8n or our REST API instead.

Can we generate our other course paperwork too?

Yes. Certificates are one document type among many. The same templates and learner data can produce enrolment letters, learner agreements, attendance records and course invoices, so your whole cohort's paperwork comes from one place.
